If you look for logistics help in Belgium, you will meet a lot of similar words: expediteur, transportbedrijf, société de transport, transitaire, shipping agent, agent cargo. They are often used as if they mean the same thing. They do not, and calling the wrong company can cost you time, money and a container waiting at the port.
This short guide explains the difference in plain language and helps you decide who to call first.
The short answer
| Who | Dutch / French | What they actually do |
|---|---|---|
| Transport company | transportbedrijf / société de transport | Owns or operates trucks and moves your cargo from A to B, usually by road. |
| Freight forwarder | expediteur / transitaire | Organises the whole shipment: books sea, air, road or rail carriers, prepares documents, handles customs and tracks the cargo. |
| Shipping agent | scheepsagent / agent maritime | Represents a shipowner or carrier in the port (vessel calls, port formalities). Usually not who an exporter or importer hires. |
| Cargo agent | agent cargo | Sells and books space with carriers, most often in air freight. |
| Customs broker | douane-expediteur / commissionnaire en douane | Files customs declarations. Many forwarders include this in their service. |
If you want one partner responsible for your shipment from pickup to delivery, you need a freight forwarder.
When do you need a freight forwarder?
A transport company is enough when you only need a truck from one address to another and everything else (documents, customs, booking) is already arranged. You need a forwarder when:
- your cargo crosses a border outside the EU or needs customs clearance;
- the route combines several modes, for example sea and then rail or road;
- you ship to countries where documents and border procedures are complicated, such as Central Asia and the Caucasus;
- you do not want to manage five different suppliers for one shipment;
- the cargo is urgent and you need a quick plan B if a route is delayed.
Why Antwerp
Antwerp is one of the biggest ports in Europe, with strong connections by sea, road, rail and inland waterways. For exporters and importers this means many sailing options, frequent departures and good links to the rest of the continent. A forwarder based in Antwerp knows the port, the terminals and the local customs procedures, which saves days on a shipment.
What happens after you request a quote
- Quote. You send route, cargo type, weight and volume. The forwarder compares carriers and offers the options.
- Booking. The forwarder books the space on the vessel, aircraft, truck or train.
- Documents. Export and transport documents are prepared and checked before the cargo moves.
- Customs. Declarations are filed and the cargo is cleared at the border or in the port.
- Transport and tracking. You get updates while the cargo is on the way.
- Delivery. The cargo arrives at the agreed address, door to door if that is what you ordered.
Documents to have ready
Missing papers are the most common reason a shipment stops at the border. Prepare these before you ask for a quote:
- Commercial invoice
- Packing list
- Transport document (bill of lading for sea, CMR for road, air waybill for air)
- Certificate of origin, if the destination requires it
- HS codes for your goods, checked in advance
- Contract or proforma invoice
- EORI number for EU exporters
The exact list depends on the destination country and the goods, so ask your forwarder to confirm it before the cargo is picked up.
Five questions to ask before choosing a forwarder
- Is the quote door to door, or only port to port?
- Which charges are included, and which are paid locally (terminal handling, storage, delivery)?
- Who handles customs, and is it included?
- Will I have one contact person who answers when something goes wrong?
- Has the company shipped on my route before, and what happens if the route closes?
A forwarder who answers these clearly, before you sign anything, is usually a forwarder who will handle the shipment the same way.

FAQ
Do I need a forwarder if I already have a trucking company? Only if the shipment involves more than road transport, a border, or customs. For a simple domestic delivery a transport company is enough.
Is customs clearance included in the freight price? Not always. Ask for it to be listed in the quote so there are no surprises.
What is the difference between a freight forwarder and a shipping agent? A forwarder works for the cargo owner and organises the whole shipment. A shipping agent works for the shipowner or carrier at the port.
